Change Management

You can flag certain types of objects as being subject to change control. This is typically done when the objects are created.

Note: Change Management functionality must be selected in ALIM Web Manager, in order for this feature to be available.
The following types of objects can be subjected to change control:
  • Documents
  • Physical items
  • Tags
  • Virtual Item Groups.

When an object is subject to change control, and once the object has been approved, you will be restricted in changing any descriptive data or associated data. Changes can only be made to these objects by initiating the change process through a change request. When a change request is made, you can identify the principle affected document, tag, physical item, or virtual item group that requires the change.

A change effects analysis report can be generated, which finds all associated objects linked to such objects. From the change effects analysis report, you can then select any additional objects which must be changed within the scope of the same change event.

Once a change request is approved, AssetWise assists you to implement the changes to the affected objects, while ensuring that all AssetWise users are kept informed of the status of the change from initial request to final implementation.

Note: Objects that are not subject to change control can be revised or changed by adding a new revision of object version. This action changes the revision/version status to "Current" on the new object, and "Historic" on the old object.

Object Status During the Change Process

The object status and change status are impacted by the change management cycle.

  1. The <Object> Status - Options are Draft, Current, Changing, or Historic.
  2. The Change Status - Options are Change Pending (change request is not yet Expedited or Approved), or Under Change (change request is Expedited or Approved).
Note: Making objects Obsolete or Superseded also changes the object status to "Historic".
